ABOUT THE ROLE
Sponsors Production Lead is responsible for overseeing the execution of brand activation's for a large scale motor-racing event in Madrid. This role ensures end to end management of the workstream including deliverables management, seamless onsite production, from setup through breakdown, while maintaining high production standards, brand alignment, safety compliance, and client satisfaction.
This role is a freelance position.
Responsibilities:
- Own the workstream for sponsor activations.
- Build and maintain detailed production timelines, decision-making trackers, budget trackers, and other required documentation to ensure transparency and accountability across stakeholders.
- Report workstream status, risks, and milestones to key stakeholders through periodic project updates.
- Anticipate bottlenecks and proactively troubleshoot issues to keep production on course.
- Coordinate logistics for content and experiential activations, including onsite requirements during the load-in, load-out and go-live.
- Collaborate with internal teams (Creative, Production, Brand Partnerships, etc.) serving as an operational bridge to deliver activation needs, acting as an external point of coordination for activation requirements.
- Own preparation of design and production briefs, tracking approvals, and maintaining up-to-date project documentation. Liaising with production and creative teams for sign off (brand guidelines, technical and operational needs).
- Monitor brand guidelines across deliverables to ensure consistency and accuracy
- Maintain organized documentation systems to ensure efficient collaboration and accessibility including asset trafficking, file organization, version control.
- Manage end to end client services, depended on SOW and not limited to campaigns, shoots and content initiatives. delivery schedules for campaigns, shoots, and content production, including coordination of agreed delivery schedules for campaigns, shoots, and content production, as applicable under the SOW.
- Liaise with vendors, agencies, and freelancers to gather quotes, book services, and maintain production calendars.
- Assist with budget tracking, POs, and invoicing to keep financials tidy and transparent.
- Own full scope of delivery of content activations from pre-production through until load-out.
QUALIFICATIONS
- 5-8+ years of experience in large-scale event production or similar environments.
- Strong understanding of infrastructure, logistics, and on-site event operations.
- Proven ability to manage suppliers, budgets, and complex timelines.
- Hands-on mindset with strong problem-solving skills.
- Comfortable operating in high-pressure, fast-paced environments.
- Excellent stakeholder management and communication skills.
- Fluent in Spanish and English
